What goes wrong when email is handled from the wrong account?
Two things. A search comes back empty and looks like good news, or a message goes out from an address the reader does not recognise. Both are avoided by checking the account before trusting it.
The empty search
An assistant looks for a client's reply, finds nothing and reports that nothing came in. If the tool was signed into a different mailbox, that empty result proves nothing.
The habit
- Confirm which mailbox is open before searching.
- Confirm which address a message will be sent from.
- Treat an empty result as a question, not an answer.
Why it matters
A client waiting on a reply should never be told that nobody wrote, on the strength of a look in the wrong place.
