GoHighLevel holds a lot of a business in one place: contacts, sales stages, follow-up emails, forms. So when there is a big job to do inside it, like a campaign with several versions of a follow-up email sequence, the natural question is how much of that setup can be done automatically and how much needs someone clicking through the screens.
At Balay ni Bruno & Co. we answered that question the practical way, while building a follow-up campaign for a client. Our team used AI to speed up the setup, and a person stayed in charge of every step. This is what we learned.
What Can Be Set Up Without Opening the App
GoHighLevel offers a direct connection that lets another program create and read some things in your account. It is fast and dependable for the pieces it supports. It simply does not support everything.
Has to be built inside the app
- Sales stage boards
- Follow-up email sequences
- Forms
- Funnels
Can be created directly
- Tags
- Custom fields
- Custom values
- Reading your sales stages, fields and tags back to check them
So the labels and the data a campaign depends on can be set up quickly. The structure itself, the stages and the email sequences, has to be built in the app.
Use the direct connection to check, not just to create. Reading the account back is the most trustworthy way to confirm a change really happened. In our build, the screens sometimes looked finished when they were not. The stored record never lied.
What Went Smoothly Inside the App
For the parts that had to be built by clicking through, a few things worked well every time:
- Building a new sales stage board from the settings window.
- Duplicating, renaming and deleting email sequences from the list of sequences. Duplicating lets you name the copy in the same step.
- Editing an email's subject line and body.
- Typing a personal greeting token such as {{contact.first_name}} straight into the email. It turns into a real merge field on save, so each person sees their own name.
Where It Got Unreliable
The sequence builder is the picture of boxes and arrows where each email sits. That is where things got slippery.
- When zoomed far out, the boxes did not respond to clicks. At a normal size they opened fine.
- Scrolling on the builder zooms in and out instead of moving around. Zooming to fit everything on screen, or reloading the sequence, was the way back.
- Going straight to a settings page by its web address showed a blank screen. Opening the dashboard first and clicking through worked.
- Over a long session of editing many emails in a row, edits started failing silently: a subject line kept its old text, panels stopped scrolling, and the save button sometimes did nothing.
Our honest takeaway: for a large batch of email edits, the fastest and most reliable path was a person in a normal browser following a ready-to-paste sheet. AI did the drafting and the checking. The person did the clicking. That is exactly how we like to work.
The Clean Way to Edit One Follow-Up Email
This is the order that worked for each email in the sequence:
Zoom to fit so every email box is visible, then open the email you want to change.
Click the subject, make sure the field itself is selected, then replace the text. Look again to confirm it changed.
Use the expand button to open a bigger editing window, which is easier to scroll and work in.
Save from the main side panel, not the larger window. When the panel closes, the save went through.
Check that the sequence's last updated date changed in the list. That is the real proof the edit was stored.
Watch out for double numbering. If you start a line with "1." the email editor turns it into a list and keeps your number too, so readers see "2. 2." Write numbered points inside a normal paragraph as (1), (2), (3) instead. Every word stays, nothing gets converted.
And one rule we keep for any account: anything that deletes something permanently is done by a person, never by an AI.
How This Fits Into a Balay ni Bruno & Co. Partnership
We run GoHighLevel accounts for clients as part of our partnership, with a real person on the account every day. AI makes that person faster: it drafts the emails, sets up the tags and fields that can be created directly, and checks the work afterwards. The person builds what has to be built by hand and approves every change. If you would like to see what that looks like for your account, our GoHighLevel page explains how we run it.
Common Questions
Can I create my GoHighLevel follow-up email sequences automatically?
Not from outside the app. GoHighLevel's direct connection lets you create tags, custom fields and custom values, and read your sales stages, but it has no way to create sales stage boards, follow-up email sequences, forms or funnels. Those are built by clicking through the app itself. The quickest route is to build one sequence you are happy with, then duplicate it and edit the copies.
Why do my numbered lists show up as 2. 2. in GoHighLevel emails?
The email editor turns a line starting with a number and a full stop into a list, and keeps the number you typed as well, so each point gets numbered twice. The clean fix is to write the points inside a normal paragraph as (1), (2), (3). Nothing gets converted and every word stays as you wrote it.
How do I know an edit in GoHighLevel actually saved?
Do not trust the editing panel alone. In our build, the panel sometimes looked saved when it was not. The reliable sign was the list of sequences: when the last updated date changed, the edit had really been stored. Check that after each change, especially when editing many emails in a row.
Key Takeaways
- Tags, custom fields and custom values can be created directly, without opening GoHighLevel.
- Sales stage boards, follow-up email sequences, forms and funnels have to be built inside the app.
- Build one sequence you trust, then duplicate it and edit the copies.
- Confirm every save by checking the last updated date, not the editing panel.
- For big batches of edits, a person following a ready-to-paste sheet beat clicking by machine. AI drafts and checks, the person builds and approves.
